Replacing a spreadsheet-based handover tracker
Situation
At an SME civils and roofing contractor in the infrastructure supply chain (name withheld), a shared workbook had become the only view of package status and handover readiness.
What we did
We traced each status, input, exception and hand-off against real packages. That showed which columns did control work, which were just formatting and which decisions needed a named owner. The map kept the working knowledge that mattered and exposed the unsupported rules and duplicate entry.

- Infrastructure supply chain
- Result
- Handover sign-off time: 3 days → same-day
Resetting technical document control
Situation
At a specialist contractor (name withheld), procedures, templates and site guidance were spread across personal drives, OneDrive and inherited folders.
What we did
We grouped the material by the task, decision or evidence it supports. With the people who know the work, we decided what was still authoritative, what held knowledge worth keeping and what should be withdrawn. We agreed who owns each document and how often it is reviewed before moving any files.
- Sector
- Specialist contractors
- Result
- Duplicate and superseded files: 200+ removed
Building a SharePoint operational hub
Situation
A growing contractor (name withheld) used Microsoft 365 but relied on unstructured folders and email to coordinate recurring work.
What we did
We ran workshops that followed real tasks across commercial, delivery and quality roles. They settled which information belongs in personal space, in team collaboration or in a controlled library, and gave important records one home without copying every inherited folder.
- Sector
- Construction SMEs
- Result
- Finding the current document: 20 min → <2 min
Testing bounded AI for procedure review
Situation
At an infrastructure supply-chain business (name withheld), subject-matter experts spent repeated time finding source material and preparing first-pass procedure comparisons.
What we did
We limited the assistant to finding approved passages and preparing a first comparison for an expert to review. Before building anything, we agreed the sources, how sensitive they were, what a failure would cost and the test examples.
- Sector
- Infrastructure supply chain
- Result
- First-pass comparison time: Half-day → <30 min
